  • Overview

    The Proxy Voting Operations Associate is responsible for supporting the end-to-end proxy voting chain for global custodian banks and institutional investors. As a part of the Global Proxy Distribution team, you will be responsible for generation and distribution of ballots, transmission of vote instructions to the local sub custodians or to the registries, management of special meeting requirements and alerts and establishment and maintenance of strong working relations with our network of local custodian banks / registries.

    Responsibilities

    • Processes vote instructions from clients of GPD banks through to the banks’ local market sub custodians or directly to the registries in the agreed upon method and format (SWIFT, report, fax, email, online voting).
    • Completes any additional paperwork needed to support a vote instruction such as proxy cards, power of attorney, etc.
    • Responds to incoming client inquiries by providing appropriate courses of action.
    • Coordinates with the sub custodians regarding rejected vote instructions, as well as, requirements to lodge vote instructions for meetings with special instructions.
    • Maintains sub-custodian contact information, SWIFT addresses, instruction delivery preferences and formats.
    • Accomplishes the daily workload through the internal proprietary application GPD Manager.
    • Manages a workflow entrusted to his / her work shift such as the direct voting to registries service, swift run, completion of proxy cards on behalf of the custodian bank client, etc.
    • Supervises and / or reviews the work of his / her colleague’s which serves as a review or audit of Ballot Generation and Vote Execution processes;
    • Identifies and recommends improvements and / or solutions where appropriate.
    • Performs other duties as assigned.

    Qualifications

    • College degree or its equivalent course of study;
    • Considerable administrative work experience preferably in the area of proxy or corporate actions or minimum of 2 years work experience as an Operations analyst in a financial services environment
    • Knowledge of SWIFT message transmission desired but not compulsory;
    • Good oral and written communication skills;
    • Proficiency in Microsoft Office (Outlook, Word, Excel);
    • Demonstrated work flow management skills;
    • Strong organizational skills and ability to prioritize multiple tasks;
    • Strong attention to detail;
    • Team player.

    Working conditions:

     

    • Flexible to assume the working hours as required by the business, especially during proxy season where volumes peak, as well as providing coverage as necessary on UK Bank Holidays.
